For Catering

Create quotes and invoices for catering, events and banquets

Whether it's a company event, a wedding, or a banquet in your own restaurant: a catering quote usually consists of a menu per person, a drinks package, service staff, and rental equipment. OfficePilot reflects this structure using your own price list. OfficePilot is not a point-of-sale system and not a table reservation tool; it handles the quotes and invoices around your events.

Combine menu, drinks, staff, and rental equipment

In your price list you store items such as aperitif, menu, or buffet priced per person, the drinks package, service staff per hour, as well as crockery rental, delivery, and setup. For each event you combine these items freshly and adjust the number of guests.

For catering there is an industry starter pack with typical items such as aperitif buffet, three-course menu, drinks package, or service staff. The prices are sample values that you adjust to your own rates. The starter pack is currently created with German item names only; you can rename the items.

Create event quotes quickly

After talking to the customer you capture date, guest count, and wishes as keywords and get a quote draft you can review and approve on your phone. For unfamiliar items, it stays visible that they aren't yet in the price list, so you can check them before sending.

Quotes can be created in several languages, for example German, French, or English, if your customer or the guest group needs it.

Deposit invoice before the event

For larger events many businesses ask for a deposit. From an accepted quote you create an interim invoice (Akonto) and later the final invoice referring to the payments already made. Whether you ask for a deposit, and how much, is up to you.

Invoice with QR code and reminders

After the event you create the invoice using the same customer and line-item data. If IBAN, address, and company details are on file, OfficePilot generates a valid Swiss QR invoice. From the Standard plan, OfficePilot flags overdue invoices and prepares the reminder at the click of a button; you review it before it is sent.
